ASSISTANT PROJECTS DIRECTOR

The Thomas H. Bowlus Fine Arts and Cultural Center (BFACC), a successful, state-of-the-art facility located in Iola, KS is seeking to hire an ASSISTANT PROJECTS DIRECTOR.  Specific responsibilities of the Assistant Projects Director include, but are not limited to:

ADMINISTRATIVE:

·        First point of contact to community and event patrons.

·        Administrative Assistant to Executive Director

·        User contracts

  • Create user contracts and final statement after each event

·        Marketing support (i.e. maintain Bowlus Facebook page, create and oversee printing of event advertising materials)

·        Event Hospitality - coordinate with tour manager as related to technical riders for:

  • Hotel
  • Catering
  • Marketing (show related)
  • Ticket comps (show related)
  • Advertising (show and season related)
  • Preparation of payment

 

BOX OFFICE MANAGEMENT:

·        Oversee all event tickets (printing, organizing, sales and distribution)

·        Collect & maintain sales records (customer & financial), including ticket sales audit for each show

·        Collect & maintain contact information for ticket purchasers

·        Be present at Bowlus Series shows to sell tickets and coordinate will-call

 

BOOKKEEPING/FINANCIAL:

·        Provide business information and statistics for monthly reports

·        QuickBooks financial entries

o   Assign accounts for purchases and expenditures

·       Bank deposits

·       Organize and file all paperwork as related to the job and assigned by Executive Director

 

IDEAL CANDIDATE:  The ideal candidate would demonstrate a proficiency in general office procedures including bookkeeping, customer service, computer proficiency, filing and multi-tasking. Confidence in interacting with and developing effective working relationships with co-workers, volunteers and public is a must. Previous experience in marketing and design of advertising materials would be helpful. Must present a professional and friendly demeanor as the first point of contact with the community and event patrons both over the phone and in person. Able to follow instructions, work well with a team, be self-motivated, and enthusiastic about the arts.

REQUIRED QUALIFICATIONS:

·       Previous office-related work experience

·       Proficient in computer technology (i.e. QuickBooks, Microsoft Office, Canva, Adobe)

·       Bookkeeping experience

·       Excellent public relations/customer service skills

·       Competent in communication skills (written and verbal)

·       Ability to work some weekends and evenings during Bowlus events

·       Due to handling of finances, must qualify to be bonded

 

PREFERRED QUALIFICATIONS:

·       Completion of some college-level courses

·       Background in Arts/Music

·       Experience with marketing and design of advertising materials


COMPENSATION AND BENEFITS

Salary range: $18-$21/Hour (Final determination commensurate with experience).

·      Funding towards Single Paid Health Insurance. Optional Dental, Vision, Spouse and Dependent Coverage, Retirement Savings Plan through the Kansas Public Retirement System (KPERS), Flexible Spending Account, 403(B) Investment Opportunities are offered at Employee expense (tax sheltered)

·      10 Annual Vacation days, Holiday Pay, 14 days discretionary leave.
